P&I insurance — Protection and Indemnity — is the specialist mutual insurance that covers shipowners, operators, and charterers for liabilities that hull & machinery policies do not: crew injury and illness, cargo damage, collision liability, pollution, and third-party property damage. When an incident occurs at a port in our region, the P&I Club needs boots on the ground immediately. A P&I Correspondent is the Club's authorised local representative — and that is exactly the role UMS plays at all major ports across the UAE, Saudi Arabia, and India.
The Role of the P&I Correspondent
The P&I Correspondent operates independently. We do not represent the shipowner or the claimant — we represent the Club's interests, which means protecting the Member from unjustified claims while ensuring legitimate liabilities are handled efficiently and at the lowest possible cost. When a Club receives a notification of an incident involving one of its Members at a regional port, they appoint us to attend, investigate, and report. Our first response is within hours, not days — because in P&I work, evidence and witness availability diminish rapidly.
Incident Response & Investigation
Incidents that trigger P&I correspondent involvement include cargo shortage or damage claims, collision or allision events, pollution (oil spills or chemical discharge), crew injury or death, stowaways, and port property damage. When we receive a notification, we deploy a correspondent to the vessel immediately. Our team secures physical evidence, interviews officers and crew, preserves relevant log books and electronic records (AIS, ECDIS, VDR data where available), and coordinates with local authorities. In pollution incidents, we liaise with the relevant coast guard or environmental authority and manage the reporting obligations under MARPOL to protect the Member from regulatory penalties.
Cargo Claims Management
Cargo claims are the most frequent P&I liability in our region. They arise from short delivery (quantity difference between Bill of Lading and out-turn), contamination, wet damage, physical damage during stevedoring, and quality deterioration in temperature-sensitive or humidity-sensitive commodities. We attend the vessel at discharge, appoint independent surveyors where warranted, monitor cargo out-turn, and issue or receive Letters of Protest on behalf of the Club. We assess the claim's validity against the Bill of Lading and Charter Party, identify any contributing negligence by stevedores, port operators, or cargo interests, and provide the Club with a detailed liability assessment and recommended response strategy.
Security & Detention
When a vessel is threatened with arrest, detention by port state control, or security action by cargo interests, the speed of the correspondent's response is critical. We appear before the relevant maritime court or port authority on behalf of the Club, arrange Letters of Undertaking (LOU) from the Club to provide security and prevent arrest, and coordinate with local maritime law firms for formal legal representation where proceedings escalate. Time is the critical variable — a vessel under arrest is accumulating off-hire costs and may be losing time-sensitive cargo commitments every hour it cannot sail.
Crew Welfare & Repatriation
Crew injury cases require immediate medical intervention and careful documentation for both treatment and liability purposes. We arrange emergency medical treatment and hospitalisation, liaise with the vessel's flag state and the crew member's flag-state trade union where applicable, coordinate repatriation when the crew member is fit to travel, and manage the claims interface between the Club, the Manning Agent, and the crew member's family. We understand the emotional complexity of these cases and handle them with both the efficiency the Club requires and the dignity the crew member deserves.
